If you provide us with a reservation order, the General Terms and Conditions of the relevant AVIAREPS location (the Netherlands or Belgium) of AVIAREPS BV apply. General Terms and Conditions (travel) service providers.

AVIAREPS acts as an intermediary in the conclusion of an agreement between travellers and travel service providers. The general terms and conditions of the relevant travel service provider apply to the offer and to an agreement with these travel service providers. If your travel includes organized transport, then, in addition to our General Terms and Conditions, the general (transport) conditions of these carriers (such as an airline) are explicitly part of the offer or the agreement. These general conditions of carriage can be found on the website of the relevant carrier, and we refer to them in the confirmation of the reservation order. You can consult an overview of the conditions of carriage of most carriers via the ANVR website.

Last minute reservations and changes

In case of last-minute reservation orders or changes, you can contact the relevant travel service provider. This applies in any case to situations where a change relates to a flight that is scheduled to depart within 2 hours.

Insurance

We expressly advise you and all other travellers to take out travel insurance and/or cancellation costs insurance.

Additional costs

The following costs are not included in the price and will be borne by the traveller:

• Any baggage fee in case of transport by airplane unless your ticket price includes a baggage allowance. An overview of almost all baggage conditions per airline can be found on the overview page of the ANVR.

• Any departure or arrival tax to be paid by the passenger at the airport. You can check this here.

• Possible costs for (priority) check-in.

• Any charges for seat reservations.

• All costs of unlisted meals and beverages.

• The cost of travel - or cancellation insurance.

Travel documents, visas and vaccinations

For your travel, you must be in possession of valid border documents such as a valid passport and visa where applicable. You can directly apply for any required visa here.

You can also obtain information about the required visas for the countries you are visiting (including the application period) from, among others, the consulate or embassy of that country. A complete overview of embassies and consulates in can be found on the internet:

• For the Netherlands: the website of the Dutch government.

• For Belgium: the website of the Belgian government.

Countries you visit during your travels may be subject to travel advisories or other requirements for traveller vaccinations. Your family doctor, GGD Reisvaccinaties (The Netherlands) or the Instituut voor Tropische Geneeskunde (Belgium) can inform you about this in more detail.

Change, cancel and no-show.

If you wish to change or cancel your reservations, you must notify us as soon as possible and, in any case, well before the flight is scheduled. If you do not check-in in time for the flight (a so-called "no-show"), airlines often apply a 100% cancellation fee, if necessary, in deviation from other (lower) cancellation costs previously notified to you. Some airlines have a broader concept of no-show, even in case of cancellation a few days before the departure date. In that case, changing your flight is no longer possible and you will have to buy a new ticket.

Payment

You can make your payment through our online payment system AVIACOLLECT. This is an online platform that is used by all AVIAREPS offices to process your payment and also contains general information from AVIAREPS and other suppliers that may be important for your travel.

To make a payment via AVIACOLLECT, you must log in with a reservation code and the e-mail address you provided to us when making the reservation. It is important that you make your payment as soon as possible. Only after receipt of full payment we will finalise your reservation and issue the tickets for your travel. Until this moment, you cannot derive any rights from your reservation and the fares and conditions previously charged to you are subject to change. Please note that payments not made on working days and not during our opening hours will only be processed on the next working day.

Complaints

If you have a question or complaint, please contact our Customer Service Department first. Make sure you have all the necessary information at hand (such as your PNR code, travellers’ name, e Ticket number, and so on) so that we can help you quickly. As part of our personal data security, we may ask you for additional details to ascertain that you are (one of the) traveller(s).

Online dispute resolution

In accordance with Regulation (EU) No 524/2013, we inform you about the existence of a European platform for online dispute resolution ("ODR"). The ODR platform serves as a point of contact for the out-of-court settlement of disputes arising from online purchases of products and services by consumers. The ODR platform is available via the internet address: https://ec.europa.eu/consumers/odr/.

AVIAREPS does not currently participate in any EU or EU Member State ODR programme, nor does it offer a possibility for (alternative) arbitration.
